Duties:   This position is located on the staff of the Deputy Superintendent/ Chief of Staff of the U.S. Naval Academy. The incumbent provides administrative and secretarial assistance to the Administrative Officer for the proper performance of all administrative matters by personnel assigned to the U.S. Naval Academy to ensure that all actions taken by the U.S. Naval Academy are in accordance with administrative policies and procedures issued by the Navy Department and the Department of Defense. The incumbent edits directives and outgoing correspondence. The incumbent edits and prepares the Weekly Administrative Bulletin compiled from emails submitted from various departments and offices throughout the Naval Academy. In the absence of the Administrative Officer, the incumbent assumes the responsibility of the Administrative Officer in authorizing approval of printing requests and reproduction work, and maintains the continuity procedures of administrative functions. The incumbent is responsible for maintaining a “tickler” system on Congressional inquiries, Freedom of Information Act requests, Privacy Act requests, annual projects (Commissioning Week, Navy-Marine Corps Relief Drive, etc.) and follows up to ensure deadlines are met or extended as necessary. The incumbent receives inquiries on administrative matters directed to the Administrative Officer and answers many of the inquiries and questions from incumbent’s knowledge of correspondence procedures and his/her supervisor’s programs or from available office records. The incumbent orders office supplies for personnel in the Deputy Superintendent/ Chief of Staff’s Cost Center and is the credit card holder for the Cost Center The incumbent prepares temporary additional duty (TAD) orders for personnel assigned to the Deputy Superintendent/ Chief of Staff’s Cost Center.
